What To Expect When Working With Us

Upon making contact with our team ideally we will set a time for a face-to-face or virtual meeting where we can get a feel for each other and determine your event needs. Like a first date, we will ask a whole heap of questions around what you are looking for, the events goals, location/s, budgets, dates and venue/s.
At this point in time we will also show you relevant examples of our work, bounce around possible ideas and ways to take your event to the next level.

After the initial meeting we’ll spend time putting together a full proposal and quote. Depending on the size and complexity of the event, this process normally takes between an hour to five days. We aim to supply quotes quickly as we know how quickly time flies by when organising events.
Along with our quote we sometimes offer 3D renderings and digital mockups of what we are proposing. Handy for showing fellow event organisers or boards/committees what our quotes mean in the real world.
We’ll give you a call to discuss the proposal and answer any questions you might have.

From here we would love some feed back of our initial quote. If we haven’t quite hit the nail on the head, we are more than happy to adapt and modify our proposal to better suit what you are envisioning.
If you’re happy to go ahead, simply click the accept button on our digital quotes, sign and add a PO number if required.

Once you have accepted our proposal we may ask for a deposit. This amount varies from 20% to 100% of the total booking, this ranges due to the individual natures of the bookings.
We’ll then work though event logistics, start booking travel and accommodation requirements for our crew and talk to the venue/s regarding scheduling.

Mostly done in in the concept creation and quoting stages just now with incredibly fine detail. Now we will finalise all rigging plans, health and safety documents and all content such as audio and vision for the event - plus discuss lighting colour pallets and so on.

In an idea world we love to arrive on site and begin setting up with at least a day up our sleeves prior to the event. This allows for any last minute additions or changes you may see when at the venue.
Once set up, the rehearsals begin! Your team of technicians will run through your runsheet with a fine tooth comb, making sure all videos are in the correct order, presentations are set and lighting cues are programmed.

The moment you have been waiting for, guests are onsite at your event and their are smiles all round! Our team will run your event just like we rehearsed and be there to make sure everything runs smoothly.

We made it! What an event that was! At this point in time clients tend to leave us to it and enjoy the rest of their post event functions. Our team will then begin dismantling your event, making sure to tidy up as we go, leaving no cable tie left behind!

Once all the trucks are unloaded and equipment put away we will get back in touch for a quick debrief and to hear your thoughts on the event - we want to hear the good, the bad and the ugly as know we can always improve and be better.
This is also when we will share any video, photos or timelapse shots we took of your event.
At this point in time we will usually send through the balance of our invoice for payment.
FAQs
How much notice do we need to give before booking?
Ideally as much as possible - we usually have running bookings about 2 years in advance but we have gotten enquiries in the past with the load in day being the next day. We actually had one which gave us an hour and a halves notice for an event which venue was 45minutes drive away - that was a stressful one!
Do we need to have a budget?
How long’s a piece of string? Having a budget or at least an expectation on how much what you are wanting is going to cost is always a good start. Letting us know this is super helpful so we don’t under or over quote your event, if you have $1,000 to spend, we don’t want to offend you by designing a 6 figure production.
Do you travel?
We certainly do! We are based in Auckland at present but travel all over the place. We have put on shows in Sydney, Melbourne and Brisbane - we just do an additional check of our prep to make sure we REALLY haven’t forgotten anything.
Can you make my event look like this photo?
Having inspiration is fantastic but we want your event to be even better! So we will break down what you like about your inspiration and then work from there to make your event your own!
I love the design of the rendering but not the colours, can you change that?
Our renderings are purely to give you an example of what our quotes translate to in real like, so when looking at them, keep an open mind on colours and content etc as all that can change. More focus on the bones of the design, make sure it is what you like. We are happy to change the colours too if that helps sell the event.
I have videos in my presentation, is this ok?
Ideally we want to have all video assets separated from your presentations as we play videos from a different computer than we do your presentation. We prefer you leave a blank slide in the presentation with the name of the video you would like played on it so we know when to play the correct videos.
